Who we are

DocketForge is operated by an individual doing business as "DocketForge" (not currently a registered company). Throughout this policy, "DocketForge," "we," "us," and "our" refer to that business. You can reach us at hello@docketforge.app.

Scope

This policy applies to two things we operate:

• The marketing site at docketforge.app, where you might fill out a demo request form.
• The product at tools.docketforge.app — the DepoSync, CaseLink, Coverage Map, and ZoomSync tools, used by our agency customers and the people they invite (staff, freelance reporters, process servers).

If your agency has signed up for the product, your agency is generally the one that decides what reporter, case, and scheduling information gets entered into the system. We process that information on your agency's behalf to provide the service — we don't sell it, and we don't use it for anything other than running and improving the product.

Information we collect

From the marketing site

If you submit the "Request a Demo" form, we collect your name, company, email, phone number (optional), and whatever you write in the message field. That submission is processed through our form provider, Formspree, and delivered to us by email. We use it only to respond to your inquiry.

The marketing site does not use analytics or advertising trackers, and does not set its own cookies. Fonts are loaded from Google Fonts, which means your browser makes a request to Google's servers (and Google receives your IP address as part of that request) when the page loads.

From the product (DepoSync, CaseLink, Coverage Map, ZoomSync)

When an agency signs up, we collect and store:

• Account information for agency admins and staff — name, email, and a securely hashed password (we never store your actual password).
• Reporter and process server records your agency enters — name, email, phone, certifications, coverage areas or counties assigned. Neither reporters nor process servers create accounts or log in. Reporters receive one-time, expiring emailed links to submit availability or confirm/decline a job; process servers are simply contact records your agency maintains for the coverage map, with no direct interaction with the system.
• Scheduling and case data — job dates, locations, case names, attorney and firm names, and job status, as entered by your agency.
• Integration credentials — if your agency connects Microsoft 365, Google, Dropbox, or Zoom, we store the resulting OAuth tokens or API credentials, encrypted at rest, so the integration keeps working without you re-authenticating every time.
• Email delivery logs — records of automated emails the system sends (availability requests, confirmations, reminders) and whether they were delivered.
• Basic usage and error data — we use Sentry for error and performance monitoring. Sentry is configured not to collect IP addresses, cookies, or request headers.

How we use information

We use the information above to operate the service: sending scheduling emails on your agency's behalf, generating exhibit indexes, rendering your coverage map, authenticating users, and troubleshooting problems. We do not sell personal information, and we do not use your agency's case or reporter data to train any model or for any purpose outside providing the service to you.

Who we share information with

We share information with the following third parties, only as needed to run the service:

• Microsoft (Graph API) and Google — to send emails and create calendar invites from your agency's own connected account, if you've set that up.
• Dropbox — to browse and read files in your connected Dropbox folder and upload generated exhibit indexes, if you use CaseLink.
• Zoom — to schedule and manage meetings through your agency's own Zoom account, if you use ZoomSync.
• Formspree — to receive marketing-site contact form submissions.
• Sentry — for error and performance monitoring, with PII collection disabled.
• Our hosting providers (Railway for the product, Cloudflare for the marketing site) — as the infrastructure the services run on.

We do not share information with any other third party, and we do not sell personal information to anyone.

Data security

Integration credentials (Microsoft, Google, Dropbox, Zoom) are encrypted at rest. Passwords are hashed, never stored in plain text. Traffic to the product is served over HTTPS. We apply standard security headers, rate limiting, and cross-site request forgery protection. No system is perfectly secure, but we take reasonable, industry-standard measures to protect the information we hold.

Data retention

We retain account and case data for as long as your agency's account is active, plus a reasonable period afterward in case you want to reactivate or need an export. If you'd like your agency's data deleted after cancellation, contact us at hello@docketforge.app and we'll process the request, subject to any records we're required to keep by law.

Your rights

Depending on where you're located, you may have rights to access, correct, or delete the personal information we hold about you, or to object to certain uses of it. To make a request, email hello@docketforge.app. If you're a reporter, process server, or staff member whose information was entered by an agency using our product, we'll generally direct you to that agency first, since they control what's entered — but reach out and we'll help either way.

Children's privacy

DocketForge is a business tool intended for legal industry professionals. It is not directed at, and we do not knowingly collect information from, children under 13.

Changes to this policy

If we make material changes to this policy, we'll update the "last updated" date above. Continued use of the site or product after a change means you accept the update.
